Process automation

When the team repeats what could happen on its own.

Confirming, checking, copying, renaming, filing, notifying. Small tasks that, added up, take a large share of the day. We identify what can be automated without losing control, and leave to people what calls for human attention.

When it makes sense

Signs this area would solve something.

Not every operation needs this right now. These are the signs that usually mean it’s worth a closer look.

It makes sense when:

  • A task is done the same way, several times a day, by someone who could be doing something else.
  • The process depends on someone remembering to carry out a step.
  • Files are created, renamed and organized by hand.
  • There is spending on paper, printing or rework that only exists because the process is manual.
  • The most common errors come from typing or from a forgotten step.

In practice

How it shows up in each operation.

Cardiology

A cardiologist in Lins, São Paulo, was spending a lot on paper and printing for electrocardiograms. An automation connected directly to the ECG device now produces the exam as a PDF, releases the report on the spot and files each PDF under the patient’s name, in folders by year and month.

Clinics

In mid-sized clinics, checks and payouts that were quick with a lean team start to take over the front desk and the admin team. We automate the repetitive steps and keep human review where it matters.

Private practices

In small practices, confirmations, reminders and document handling often fall to a single person. Automating those routines complements the software the practice already uses, rather than replacing it.

Companies

In established companies, reports put together every week from the same spreadsheets, and documents always filled in with the same data, are natural candidates for automation.

How we work

Understand first. Then build.

  1. 01

We follow the task as it is done today, step by step, exceptions included.

  2. 02

We separate what is repetitive from what calls for judgment. Only the first becomes automation.

  3. 03

We build the automation into the existing routine, so the team doesn’t have to learn a new process.

  4. 04

We follow its use and adjust, because the real process always has a case that wasn’t on paper.

Case

A real problem, from diagnosis to result.

Cardiology · Lins, São Paulo, Brazil

Paperless ECGs: from the machine straight to PDF

A cardiologist was paying for paper and printing on every ECG. An automation connected to the machine now saves each exam as a PDF and files it by patient.

Frequently asked questions

Common questions.

Does automation replace people?

The aim is to take repetitive work off the team, so their time goes to what needs human attention: the patient, the client, the decision. Steps that call for judgment stay with people.

Do I need to replace my systems to automate?

Usually not. Automation tends to work around the tools already in place, according to what each one allows. In the ECG case, the automation runs on the computer and connects directly to the ECG device.

What happens if the process changes?

The automation changes with it. Because it is built from the real process, adjustments follow the operation, and the relationship continues after delivery.

How do we start?

With a conversation about what is happening in the operation. The first conversation is free; the full diagnosis, with the Technology Evolution Map, is a paid service, remote or on-site by arrangement.

Want to know whether this fits your case?

Tell us what is happening in the operation. The first conversation is free and lets us understand the context before proposing any solution.

Shall we understand your operation?

The next step for your technology starts with a conversation.

You know your business, your processes and the challenges you face every day. We can help you understand how technology can respond to those needs.

Tell us what's happening in your operation. We'll talk through the context, identify possibilities and assess how Diagium can help.

You don't need to arrive with a defined solution.

We start by understanding the problem.

We take on a limited number of new projects each quarter.
